The process
If you have an Invoice and credit note on a supplier account, they will be allocated against each other during scheduled payment processing.
If you require the documents to be allocated against each other before a payment run, follow the steps below.
Example of the Supplier account. Transactions by Supplier.
Access the following menus: Accounts Payable-AP Enquiries-Transactions by Supplier
Access the following menus:
Accounts Payable-AP Processes-Payment Processing-Manual Payments
Click on the Insert icon.
Enter the following details:
Reference: this is the reference for the dummy payment that is created when you allocate the two transactions.
Value: enter zero.
Press enter for all other fields to default.
Click on the Allocate button.
Locate the transactions, right click, and select Transaction / Pay.
The Actual and Payment values need to balance to zero.
If the credit note is not for the full value of the invoice, this can be part allocated.
Amend the value in the Gross Payment field, right click and select Transaction / & Amend Pay
Click on Update.
Access the enquiry screen and the transactions have been matched.
The Invoice and credit note are now allocated, the system will create an allocation transaction, this will not post to general ledger. This allows the allocation to be cancelled it match incorrectly.
